POSITION TITLE: Front Office Receptionist
HOURS:       M-F, 8:00 am - 5:00 pm

POSITION SUMMARY:

Under the direct supervision of the Tribal Administrator Administrative Assistant, or designated team member the incumbent shall have responsibility for the coordination and oversight of the Tribal Office front lobby which serve as the first interface with all visitors to the Tribal Office.

The Federated Indians of Graton Rancheria's Tribal Office Provides an array of programs and services, including the TANF of Sonoma and Marin counties ("the Program") which serve needy American Indian families with temporary cash assistance and supportive services. The Program provides parent or caretaker participants with job preparation, work-related assistance and other supportive services enabling families to become self-sufficient. It is the intent of the Tribe, all Tribal Programs and Services offered though TANF or FIGR serve as model for an integrated social services program that pays particular attention to culturally relevant services and the preservation of American Indian families, and specifically FIGR Citizens'. The TANF department also develops and administers other tribal social service programs that reach a broader cross-section of the Tribe's 1,300 citizens. The incumbent of the Front office should provide superior customer service, and be able to handle multiple tasks, such as, answering and directing incoming phone calls, greeting and assisting visitors, logging mail, maintaining the master calendars, ordering and maintaining office supplies, assist with ensuring building security, performs administrative duties as assigned. Assist with the cooperative, efficient operation of the Tribal front office, with all employees, guests, and visitors, and is able to demonstrate collaboration especially working as a team member of the Tribal Administration.

ESSENTIAL FUNCTIONS:

  • Ability to answer multiple phone lines and successfully transfer calls, or connect conference calls.
  • Answers phones promptly and professionally. Screens calls, correspondence and visitors for FIGR and TANF.
  • Ensures that telephone system is placed on the appropriate answer settings (such as, day, night, meeting, etc.)
  • Ensures that elevators and exterior doors are unlocked during normal business hours and locked outside of normal business hours.
  • Greets visitors and sees to their needs. This includes seating and offering refreshments, notifying the party they are here to see, and making them feel welcomed.
  • Ensures that visitors sign in, and enforces the Visitors Policy.
  • Ensures that unauthorized persons are not allowed into the back office area.
  • Receives and signs for certified mail, packages, forms, applications and other items. Logs and date stamps the items and routes to appropriate staff.
  • Opens, logs, date stamps and routes all incoming mail. Logs outgoing mail and maintains the postage meter.
  • Maintains all office machines. Ensures adequate levels of paper in fax machines and copiers.
  • Responsible for and maintains adequate office supplies. Maintains neatness and organization of supply cabinets. Orders supplies as needed.
  • Monitors security cameras and notifies appropriate person's if there may be a problem.
  • Maintains the master office calendars. This includes reserving meeting rooms, issuing appointment reminders, notifying staff of dual scheduling and/or availability of expected participants, verifying attendance, and distributing cancellation notices.
  • Performs routine administrative tasks, such as typing, copying, stapling, collating, labeling, filing, sorting, etc.
  • Supports Tribal Office personnel with projects when assigned.
  • Assists with maintaining cleanliness and neatness of lobby, meeting rooms, and kitchen and copy room.
  • Other duties as assigned.

MINIMUM QUALIFICATIONS:

KNOWLEDGE, SKILLS AND ABILITIES:

  • Must have a clear speaking voice and strong telephone skills.
  • Must have strong oral and written English communication skills.
  • Must be personable, patient, and well-organized.
  • Must be professional and interact positively with others.
  • Must have experience with Microsoft Outlook.
  • Must have strong PC skills with working knowledge and experience in Microsoft Outlook, Word and Excel.
  • Must have working knowledge and experience in maintaining filing and inventory systems.
  • Must have working knowledge of office procedures and office equipment.
  • Must have the ability to sit for long periods.
  • Ability to occasionally lift, carry or otherwise move and position objects weighing up to 25 pounds is preferred.
  • Ability to interact and demonstrate cultural sensitivity of Native American values and culture with clientele.
  • Must be willing to adhere to professional and ethical codes of conduct and to FIGR employment policies.
  • Must successfully pass a pre-employment drug/alcohol screen and background investigation.
  • Will agree to blood and/or urine level testing for drugs and/or alcohol.

MINIMUM QUALIFICATIONS:

KNOWLEDGE, SKILLS AND ABILITIES

  • Experience with MS Office Suite of applications.
  • Experience with multi-line phone systems.
  • Demonstrated verbal and written communication skills.

EDUCATION

Requires a combination of education (AA degree, certificate, or courses in related field) and 2 years of progressive work experience in office management. Or a high school diploma and 3 years of progressive work experience in office management.

  • Must successfully clear a criminal history background check.
  • Must successfully clear a Drug and Alcohol Screening.
  • Must possess a valid State Driver's License and maintain such license throughout the duration of employment. Must have a reasonably clean driving record and be eligible for coverage under the Tribe's vehicle insurance policy.
  • A valid California driver's license, dependable automobile and automobile insurance are required.
